How do I configure the employee portal URL for my business in TruckLogics and add Staff?

Fleet Managers can provide access to the TruckLogics account through the employee portal exclusive to their business. Predefined roles are available for the staff- Driver, Dispatcher (can create loads), Dispatcher (can’t create loads), and Office Manager.
The fleet manager has to set a typical custom URL for their business before portal access is given to their staff. Provision to personalize the portal is also available. For instance, Drivers can also use the TruckLogics mobile app only if they have portal access
Here’s the sequence of events to add staff with employee portal access:
Configure Custom URL
- From Settings, choose Portal URL.
- Enter a unique URL for your business. Using this URL, your staff, including drivers can access their TruckLogics account.
Personalize Employee Portal
You can personalize the employee portal here. Upload the business logo and customize the theme of the portal.
- From Settings, choose Portal URL.
- Choose tab Personalization.
Now, when you add your staff through the Address Book, provision to provide the portal access will be available. Let’s look at how a driver and an office manager with portal access is added in TruckLogics.
Add Driver with Portal Access
- From the menu Address Book, click Add New >> Driver.
- Choose if the driver is an Employee or a Contractor.
- Provide the basic information and click Save & Continue.
- Click the tab Driver Portal Access. The provision to provide portal access is available
Add an Office Manager
- From the menu Address Book, click Add New >> Staff.
- Provide the basic information and click Save & Continue.
- Click tab User Account.
- The provision to set the Office Manager role with portal access is available. Click Set Up Portal Access.
- Choose Office Manager and click Next to set up the portal access.
Note: The above procedure is the same for staff with roles Dispatcher (can create loads) and Dispatcher (can’t create loads)
Advanced Settings for Staff Roles
TruckLogics allows fleet managers to configure the permissions for their staff through advanced settings. For instance, if an expense entry is to be automatically added to the accounts when Fuel Up with payment mode as "Fuel Card(Company)" is added by the driver, this can be configured. To do that,
- From Settings, choose Manage Users.
- Choose tab Advance Settings.
- Against the predefined roles listed, click on the icon under the Action column.
Below are the advanced settings for a driver role.
Your staff can now access the TruckLogics account based on the permissions set for their role using the employee portal URL you configure.
